Late payment chasers

The daily reminder run, which invoices it picks up, the status it sets, and the dry run.

Overdue chasing is automatic. A scheduled run every morning at 09:00 in your shop's own timezone emails reminders for open invoices, per shop, so nothing crosses between customers of different shops and nobody is chased in the middle of their night.

Which invoices it picks up

An invoice is chased when it is:

So the first nudge lands before the due date, not after it, which is where most of the value is. Paid and void invoices are never chased.

The email

It uses the invoice.reminder template, which you can rewrite under Email & SMS templates. Available in the template: the customer name, the invoice number, the total, the due date and the pay link. It goes to the customer's primary contact, or the first contact on file. An organisation with no email on file is skipped rather than erroring.

What the status becomes

That is how you tell at a glance in the invoice list which invoices have already been chased and which have not.

Chasing by hand

The invoice list has a bulk reminder action for when you want to chase now rather than wait for the morning run, and any single invoice can be emailed from its own page with Email customer.

Seeing what would send

The reminder run supports a dry run, which lists every email it would send and to whom without sending any of them. Useful after you have edited the template or imported a batch of historic invoices with old due dates. Ask support to run it if you do not have shell access.

Quotes get chased too

Separately, unanswered quotes are chased at 09:30 and unanswered artwork approvals at 10:00, again in your shop's timezone. See handling revision requests.
